The short version: We collect only what's needed to do your books and help you understand them. We never sell your information, and we never use your financial data or documents to train AI or to advertise to you. You stay in control — disconnect, export, or delete anytime.

1. Who we are & what this covers

Happy Controller (“we,” “us”) is operated by Visual Country LLC. This policy covers our website, web and mobile apps, and the assistant that works on top of your accounting software. By using Happy Controller you agree to this policy and our Terms of Service.

To provide and improve the service: categorizing and cleaning up transactions, explaining your numbers, preparing your books for reconciliation, generating reports and forecasts, reading documents you upload, and supporting you. We also use it to communicate with you — and, in accountant/firm workspaces, to contact the business owner on the accountant's behalf (via in-app chat, email, SMS, or Slack) to gather or confirm information about expenses and income.

We do not sell your data. We do not use your financial data or uploaded documents to train AI models, and we do not use them to advertise to you.

4. AI processing & service providers (sub-processors)

To power categorization and the assistant, we send the minimum relevant data for your request to a third-party AI provider (currently Anthropic). Under our agreement, that data is not used to train their models and is retained only briefly for operating and abuse-prevention purposes. We never send raw statement files to the AI provider.

We also rely on other providers strictly to run the product, each bound by contract to use data only to serve us: Intuit (QuickBooks) and other accounting platforms you connect; Twilio (text messaging); Slack (if you connect it); cloud hosting; email delivery; and privacy-respecting analytics.

5. Text messages & Slack

If you provide a mobile number or connect Slack, you consent to receiving sign-in (one-time / magic-link) codes, account alerts, and conversational messages from the assistant — including messages that ask you to identify or confirm an expense or income item.

In accountant/firm workspaces, an accountant may enable the assistant to message the business owner on their behalf to gather this information; the owner consents by providing their number or connecting Slack, and can opt out at any time.

Message and data rates may apply and frequency varies. Reply STOP to opt out of texts or HELP for help. Mobile numbers and messaging consent are never shared with third parties for their own marketing, and consent to messaging is never a condition of using the product — you can always use in-app chat or email instead.

6. Accountants, firms & multi-client workspaces

Accountants and bookkeepers may connect multiple clients into one workspace. Within a workspace, authorized firm members can access connected clients' financial data to perform bookkeeping and answer questions. The business owner authorizes this access by connecting their account or accepting an invitation, and either party can disconnect at any time. We act as a service provider/processor to the firm and the business with respect to that data.

7. How we share information

We share information only with the service providers above (under contract), and otherwise only: to comply with law or protect rights and safety; in connection with a business transfer (with notice); or at your direction. Limited, non-financial marketing-site analytics may be shared with ad platforms as described below. We never share your financial data or documents with data brokers or advertisers.

8. Your accounting platform connection

We connect with read and limited write access to do the books — for example, to categorize a transaction or set a vendor — but we never move your money and never make payments. You can disconnect any platform at any time, which stops further syncing.

9. Cookies & advertising

Inside the app we keep cookies to what's needed to keep you signed in and run privacy-respecting analytics. On our public marketing pages, we may use cookies and advertising/conversion tags (for example Meta and Google Ads) to measure ad performance — these receive limited, non-financial event data tied to an advertising identifier, never your financial data or documents. You can opt out via your browser, your device's “limit ad tracking” / Global Privacy Control signal (which we honor), or our Do Not Sell or Share page.

We use encryption in transit and at rest, magic-link sign-in (no passwords to steal), least-privilege internal access, and data minimization (including not retaining raw statements). No system is perfectly secure, but we work to protect your data and will notify you of a breach as required by law.

11. Data retention & deletion

We keep the minimized data we store while your account is active and as needed to provide the service. You can access, export, or delete your data — including uploaded-document data — at any time by asking us or using in-app controls. When you close your account, we delete your data on our retention schedule, except where we must keep limited records to meet legal obligations.

Happy Controller is for businesses and is not directed to anyone under 18, and we do not knowingly collect data from children.

14. Changes

We may update this policy as the product evolves. We'll post the new date here and, for material changes, notify you in the app or by email.
